Community Outreach and Training Specialist

Outreach
- Share the mission of WRWNY with church and community partners, as well as volunteers, and invite them to join our team
- Design, plan and implement overall individual and Good Neighbor Team volunteer outreach strategy using multiple approaches (social media, tabling, volunteer fairs, etc.)\
- Ensure a strong, dynamic and diverse volunteer base enabling the office to effectively support service delivery, fundraising and community outreach objectives.
- Work with Communications Manager to create, update, and disseminate promotional materials specifically aimed at volunteer recruitment; ensure materials are translated and accessible for various populations; contribute to related social media efforts
- Plan, attend, and/or exhibit at relevant events to promote and explain the services of World Relief Western NY
- Develop additional volunteer roles in conjunction with the Church and Community Engagement Teamâs Strategic Plan and office needs
Onboarding
- Provide volunteer screening and orientation to all new volunteers, offering guidance through the onboarding process and role placement process within World Reliefâs volunteer opportunities.
- Increase efficiency and effectiveness of the onboarding process for volunteers, including application review, orientation facilitation, processing background checks and reference checks and tracking completion of general orientation courses on World Reliefâs e-learning platform.
- Manage and track relevant data in WR systems (including Dynamics, Track it Forward, Microsoft Teams, WordPress Sterling, and Thinkific)
Training
- Develop and oversee initial volunteer and Good Neighbor Team orientations
- Train new volunteers in using relevant WR systems
- Maximize use of World Reliefâs e-learning platform âthe Workshopâ to develop learning pathways for churches and volunteers
- Plan and host a variety of community education workshops to help volunteers and stakeholders in conjunction with Volunteer Mobilization Specialist
- Develop, manage, and train others to lead various Refugee Simulations
- Develop and maintain program evaluation methods, including regular monitoring of volunteer data and tracking, to evaluate program effectiveness and growth opportunities
Gift In Kind (GIK)
- Develop and manage WRWNYâs GIK strategy and maintain a log of incoming and outgoing donations
- Maintain donation storage room organization, including keeping an up-to-date inventory of available items
- Manage relationships with primary GIK partners
Other
- Provide coaching and accountability to employees who interact with community partners and volunteers, focused on volunteer role development and recruitment
- Develop a pathway for volunteers to become WRWNY donors
- Be cross trained on all volunteer and Gift in Kind activities
- Assist team in planning various CCE events

Volunteer Mobilization Specialist
ROCHESTER, NY

- Respond to one-time group volunteer inquiries from the public in a timely, professional manner
- Work closely with all departments to guide, identify and support volunteer staffing needs
- Receive volunteer requests from WRWNY staff and communicate with current volunteers
- Develop informal mentorship with and between WRWNY volunteers
- Continue to build out the WRWNY online Volunteer Resource page
- Capture volunteer testimonials and stories, in conjunction with the Communications Manager
Individual Volunteers

- Maintain communication and relationships with various functional volunteer teams

- Strengthen and match Cultural Companions with clients

Good Neighbor Teams

- Develop cross-functional Community Sponsor, Co-Sponsor, and Private Sponsor GNTs in partnership with CCE Manager
- Partner with Church Mobilizer to identify ideal GNTs
- Communicate with WRWNY direct service staff to collaboratively match arrivals with trained GNTs
- Maintain communication and relationships with GNT Leaders and their teams
- Supervise and support GNTs over their six to twelve month commitments
- Schedule regular check-ins/debriefs with GNT
- Utilize and oversee Microsoft Teams to communicate with Good Neighbor Teams
Retention

- Manage regular volunteer engagement gatherings for the Western NY region, coordinating with the CCE Team to provide opportunities for volunteers to continue learning, receive recognition, get to know one another, and share from their experiences, including:

- Fall meet-and-greet
- Develop frequent targeted emails, phone calls, letters, and unique methods of engagement within existing volunteer base

Housing Specialist
ROCHESTER, NY
Role & Responsibilities

- Research fair market housing rates and trends and identify rental properties and apartments through online research, phone calls, community connections, and in-the-field research
- Conduct ongoing outreach to develop, build, and maintain relationships with property owners, private market landlords, and property management companies
- Ensure housing meets federal and local housing standards, including completing site visit and evaluation of each unit
- Interpret and apply housing codes and standards, landlord regulations, and program guidelines
- Coordinate with US-based relatives when securing housing for incoming refugee cases
- Maintain accurate, up-to-date records and documentation, including updating a CRM with hot, warm, and cold housing leads and documenting services to clients
- Negotiate lease terms with landlords, when required, and assist newly arrived refugee cases to understand and sign lease and/or housing agreement
- Once housing is secured, collaborate with WR Finance staff to secure security deposit and rent payment, and collaborate with other WR staff on a move-in date, utility hook-up, and furniture set-up
- When necessary, provide initial housing orientation to newly arrived refugee cases
- Assist with housing-related case management tasks or other housing support, as needed
Knowledge, Skills, & Abilities

- At least two yearsâ experience in sales, fundraising, marketing, or related field strongly preferred
- Willingness and ability to continually sell the mission and work of WR to property owners
- Learning orientation: eager for both personal and professional growth, especially within sales
- Strategic orientation toward sales: able to shape and execute plans to reach goals
- Ability to develop a thorough knowledge of World Relief programs through reading reports, conversing with staff, attending team meetings, etc., and use this knowledge to shape a solid sales pitch

Marketing & Communications Intern
Reports to: Volunteer Coordinator/Program Manager
Hours: Full Time or Part Time
JOB SUMMARY
The Marketing and Communications Intern will assist in communicating the mission and vision of World Relief WNY and its programs to a wide variety of constituencies, including local churches, volunteers, community members, and donors.
KEY RESPONSIBILITIES
- Conduct interviews with relevant parties to gather information, quotes, photos, and releases
- Write for a variety of platforms (newsletter, social media, and marketing materials)
- Help to grow WR WNY Facebook and establish Twitter and Instagram presence
- Assist in organizing and segmenting email lists
- Brainstorm ideas for growing and engaging social media audiences
- Assist with press releases
- Complete research on communication, marketing and other topics related to WR WNY ministry
- Engage with marketing team on national level for tracking metrics
- Create strategic marketing plan
- Assist with keeping digital marketing and communication materials and programs organized
- Provide administrative support to the department

Family Literacy Intern

JOB SUMMARY
The Family Literacy Intern will work with the Community Engagement and Programs teams to strengthen World Relief Western New Yorkâs ESL programming.
KEY RESPONSIBILITIES
- Support World Relief and OACES staff members and volunteers during before and during the evening ESL class
- Track attendance and progress of World Relief clients in evening ESL class
- Correspond with OACES staff members and relay pertinent information to World Relief staff
- Research and develop ESL resources for volunteers to use during in-home visits
- Assist with trainings for volunteers and Good Neighbor Teams relating to ESL and conversation partners

The Community Engagement (Donor Focus) Intern will support the World Relief Western New York Team in event planning, donor engagement, and gift-in-kind management. This internship provides the opportunity to grow in experience of diverse populations, cross-cultural relationships, and interpersonal skills, as well as data management skills.
KEY RESPONSIBILITIES
- Assist World Relief team in planning donor and community events (World Refugee Day, Global Neighbors Gala, volunteer appreciation events)
- Assist in the creation of office Gift in Kind system and database
- Recognize opportunities to enable more efficient use of the database
- Develop regular donor communications (thank you cards)
- Attend intern supervision
- Attend staff meetings and/or trainings

This internship provides the opportunity to grow in experience of diverse populations, cross-cultural relationships, and interpersonal skills, as well as data management skills.
KEY RESPONSIBILITIES
- Participate in team meetings, volunteer trainings, and other events
- Collect volunteer and partnership data and enter into database
- Assist with volunteer trainings
- Research and develop monthly training sessions for volunteers and church partners
- Develop book study to be used by staff, volunteers, and church partners
- Establish new community partnerships and bolster current community partnerships (OACES, Saints Place, Universities, community centers, etc.)

Resettlement & Placement Program Intern
Reports to: Volunteer Coordinator/Resettlement & Placement Specialist
Hours: Full Time or Part Time
JOB SUMMARY
The R&P Program Intern will assist the R&P team and other staff as needed in welcoming our new neighbors and supporting initial resettlement efforts and activities.
KEY RESPONSIBILITIES
- Assist with preparations for newly arrived refugee families including apartment inspections and set-up, preparation of clothing and household goods, cultural orientation, and community orientation
- Accompany and assist families with appointments including social security, DHS, medical, utility sign-up, ESL registration, clothing pick up, and grocery shopping, and bikes
- Visit refugees in their homes with the case manager or independently to assist with follow up tasks as requested and to get documents signed
- Help with the development of orientation materials, filing, and other office-based tasks
- Research and development of resources for clients, including housing
- Attend regular resettlement team and staff meetings
- Work with Volunteer Coordinator and Case Managers to determine volunteer needs/roles
- Required readings and reflective journal entries
- Assist with other R&P tasks as needed

Academic Internship
We are seeking applicants who desire to serve the nations in Western New York through participation in a semester long internship. Interns will commit to serve over the course of a portion of the academic year to fulfill requirements.
